Many small UK businesses run on a patchwork: an accounting package, a spreadsheet for stock, a separate CRM and invoices typed up by hand. Every time information is copied from one place to another, there is a chance of a mistake. For VAT, HMRC now has firm rules on how that information moves between systems.

Odoo is one way to bring all of this into a single system. This guide explains what Odoo is, which apps UK SMEs use most, how it handles UK VAT and Making Tax Digital (MTD), and where NETON adds AI and automation on top.

What Odoo is

Odoo describes itself as a suite of open source business apps. Instead of one large package that you must take all at once, you install the apps you need and add more as you grow. Because every app shares the same database, a customer, product or invoice only needs to be entered once.

Odoo is available as a free Community edition and a paid Enterprise edition. As we explain below, the HMRC VAT submission features are part of Enterprise.

The apps UK SMEs use most

Odoo has dozens of apps. In our experience, these five are the core for most small and medium-sized UK businesses:

  • Accounting: financial and analytic accounting, bank reconciliation and VAT reporting.
  • Invoicing: quotes, invoices and customer payments.
  • CRM: tracking leads and opportunities through your sales pipeline.
  • Inventory: stock levels, warehouses, deliveries and receipts.
  • Project: planning work, tasks and timesheets, which can then be invoiced.

The benefit comes from how they connect. A won opportunity in CRM becomes a quote, then a sales order, a delivery and an invoice. That invoice flows into the accounts and onto your VAT return without anyone retyping it.

How Odoo handles UK VAT

Odoo's UK localisation documentation sets out what it includes for UK companies:

  • a CT600-ready chart of accounts, so your accounts line up with the Corporation Tax return;
  • a VAT100-ready tax structure, created automatically with the right accounts behind each tax;
  • settings for your VAT return period, such as quarterly;
  • Bacs payment files for paying suppliers from your bank;
  • a Construction Industry Scheme (CIS) module for contractors, which applies the 20% and 30% deduction rates and reminds you about monthly CIS returns.

Your accountant should still review the tax settings for your business, especially if you use a special VAT scheme. That is a normal part of any Odoo implementation we carry out.

Making Tax Digital for VAT: what HMRC requires

MTD for VAT is not new. It has applied to every VAT-registered business from its first VAT return period starting on or after 1 April 2022, whatever its turnover. HMRC says all VAT-registered businesses should now be signed up.

The key rules are in HMRC's VAT Notice 700/22:

  • VAT records "must be kept digitally, within functional compatible software".
  • Data moving between programs must use digital links. HMRC does not accept manual transfers, and does not treat "copy and paste" as a digital link.
  • Returns go to HMRC through its API: "The submission of information to HMRC must always be through an API."

In practice, you need either compatible software or bridging software that links spreadsheets to HMRC. A system like Odoo, where sales, purchases and VAT all live in one place, removes most of the links you would otherwise have to manage.

Sending your VAT return to HMRC from Odoo

According to Odoo's documentation, the process works like this:

  1. Go to Accounting ‣ Reporting ‣ Tax report and click Connect to HMRC. You authorise Odoo on HMRC's own website once.
  2. Import your VAT obligations from HMRC, so Odoo knows which periods are due.
  3. Choose the period, check the figures, and click Send to HMRC.

A few points from the same documentation are worth knowing:

  • Only UK-based companies can submit to HMRC from Odoo.
  • Only one company and one user can be connected to HMRC at a time, which matters if you run several companies in one database.
  • If a return is more than three months late, it can no longer be submitted through Odoo.
  • Odoo can be pointed at HMRC's test environment, so the connection can be tested before a live return is sent.

The modules behind this (UK Accounting Reports and the UK HMRC API) are not in Odoo's free Community edition, so plan for Odoo Enterprise if you want to file VAT from Odoo.

A brief note on MTD for Income Tax

MTD is now extending to Income Tax. HMRC's eligibility guidance says it applies to sole traders and landlords registered for Self Assessment who have income from self-employment or property. The start date depends on that qualifying income:

  • over £50,000 in the 2024 to 2025 tax year: from 6 April 2026;
  • over £30,000 in the 2025 to 2026 tax year: from 6 April 2027;
  • over £20,000 in the 2026 to 2027 tax year: from 6 April 2028.

HMRC says partnerships will also need to use it in future, but has not given a date. The guidance is written for individuals, not limited companies. If you are a sole trader or landlord, check HMRC's software finder and speak to your accountant about the right product for your Income Tax updates. Odoo's UK documentation covers VAT submissions.

Where NETON adds AI and automation

Getting the accounts and VAT right is the foundation. As a Certified Odoo Partner, NETON also connects Odoo to our own AI and automation, so the system does more of the routine work:

  • AI voice agents that answer or make calls, qualify leads and log them straight into Odoo CRM;
  • WhatsApp and SMS follow-up, triggered by events in Odoo such as a new quote or an overdue invoice;
  • telephony integration with Wildix, so calls are linked to the right customer record;
  • workflow automation that moves work between teams without emails and spreadsheets.

We also handle the essentials: setting up the UK chart of accounts and VAT, testing the HMRC connection, migrating data from your current system, and training your team.

A sensible way to start

  1. List what you use today: accounting software, spreadsheets, CRM and any manual steps.
  2. Start with Accounting and Invoicing, with VAT set up and tested, ideally from the start of a VAT period.
  3. Add CRM, Inventory and Project once the finance side is running smoothly.
  4. Involve your accountant early, so the opening balances and tax settings are agreed.

Frequently asked questions

Can Odoo submit VAT returns to HMRC under Making Tax Digital?

Yes. Odoo's UK localisation connects to HMRC, imports your VAT obligations and sends the return from the tax report. Only UK-based companies can submit, and returns more than three months late cannot be sent through Odoo.

Do I need Odoo Enterprise for Making Tax Digital?

For filing VAT from Odoo, yes. The UK reporting and HMRC API modules that send returns are not part of the free Community edition.

Does MTD for Income Tax apply to my limited company?

HMRC's guidance applies MTD for Income Tax to sole traders and landlords with self-employment or property income, starting from 6 April 2026 for those with qualifying income over £50,000. Partnerships will follow at a date not yet set.

Can Odoo handle the Construction Industry Scheme?

Yes. Odoo has a UK CIS module that applies the 20% and 30% deduction rates and reminds you when monthly CIS returns are due.
